Introduction

Community Learning Passport, operated by Dottie Rose Consulting LLC d/b/a The Dot. Consulting (“we,” “us,” “our”), provides the Community Learning Passport mobile application (the “App”). This Privacy Policy describes how we collect, use, and share information when you use the App.

Who this App is for

The App is designed for families. Accounts are created and used by parents or legal guardians. If you use the App, you agree that you are the account holder and that you are responsible for information you submit about your family, including any photos or activity details you choose to add.

Information about children or family activities may appear in the App, but it is provided through the parent or guardian’s account—not through a separate child login.

Information we collect

Account information: Email address and password (or equivalent credentials) used to create and sign in to your account.

Profile information: Information you provide in your profile, such as parent first and last name, family nickname, school or organization name if you choose to enter it, and preferences such as whether photo sharing or related features are enabled.

Learning activity information: Information you enter as you use the App, such as monthly activity choices, written reflections, reading or checklist selections, and completion status for program months.

Photos: If you upload photos, image files are stored with our service provider and associated with your account and the month or activity you selected.

Technical and session data: To keep you signed in, the App stores session-related data on your device (for example, using local device storage). A record of your photo-sharing consent choice may also be stored locally on your device.

How we use information

To create and maintain your account and profile.

To provide the App’s features, including saving your progress and displaying your monthly activities.

To store and display photos you upload when you use those features.

Marketing and promotional use of photos: If you choose to share photos publicly or consent to photo-sharing features, Community Learning Passport may use those photos for marketing and promotional purposes. Please only share content you are comfortable making public.

To operate, secure, and improve the App, and to comply with applicable law.

We do not sell your personal information. The current App build does not include dedicated third-party advertising or analytics software development kits (SDKs) used to track you across other companies’ apps or websites.

Service providers

We use trusted service providers to host and operate the App. In particular, we use Supabase for authentication, database storage, and file storage for content such as photos. Those providers process information on our behalf to deliver the service.

The App is built with Expo and React Native and uses standard platform capabilities (for example, to choose or capture photos). Session data may be persisted on the device using local storage mechanisms required for sign-in.

We use commercially reasonable safeguards to protect information stored within the App and through our service providers.

Retention

We retain your information for as long as your account is active and as needed to provide the App, unless a longer period is required or permitted by law. When you delete your account in the App, we permanently remove your account credentials, profile, learning progress, and uploaded photos from our systems, subject to limited backup retention by our service providers if applicable law requires it.

Your choices

You can update profile information and certain preferences in the App (for example, photo sharing where that option is available).

You can permanently delete your account and associated data in the App: Open the App, go to Home, tap Profile, scroll to Account & Data, and tap Delete Account. Confirm the warning and enter your password to permanently delete your account. See our Delete Your Account page for full instructions.

You may also contact us using the information below to request access to or correction of personal information associated with your account.

Children’s privacy

The App is intended to be used under a parent or guardian’s account. We do not knowingly permit children to create their own accounts separate from a parent or guardian. If you believe information has been collected in a way that does not match this design, please contact us using the information below.

Changes

We may update this Privacy Policy from time to time. We will post the updated policy with a new effective date. If changes are material, we may provide additional notice or seek consent where required.
